Paperwork
Following the training, you will need to submit a series of documents to the Financial Aid Office:
Note: If you are a returning work-study student, you need to submit a new Employment Certification Form each year
BCIs (Bureau of Criminal Identification form)
In many cases, students must also complete a BCI prior to starting work. You will need to check with your individual site to see if they require a BCI, but if you're working with youth or elderly people, it's safe to assume you'll need a BCI.
To obtain a BCI, follow these instructions:
Following the training, you will need to submit a series of documents to the Financial Aid Office:
- Employment Certification Form: this needs to be signed by the Program Coordinator before you submit it to Financial Aid
- Direct Deposit: follow the instructions to be enrolled in direct deposit, instead of having to pick up your paycheck in Harkins every two weeks (and it's better for the environment!)
- Rhode Island W-4 (tax form)
- Federal W-4 (tax form)
- I-9 (Employment Eligibility Verification form): you will need some form(s) of identification when submitting this form
- If you have a U.S. passport, this is the only document you need to provide
- You can also provide a Driver's License or State ID AND a Social Security Card or Birth Certificate (photocopies are not acceptable)

To obtain a BCI, follow these instructions:
- Go to the Office of the Attorney General (4 Howard Ave, Cranston, RI 02920). Make sure you bring a state-issued photo ID (driver's license, passport, etc.) AND $5 check, money order, or credit card.
- When you enter the building, go directly to the right. Go up to the window and ask for a BCI (you'll need to show your ID and pay here).
- Wait 5-10 minutes for them to process your BCI. And that's it (wasn't that easy?)!
Timesheets
Every two weeks, you will have to fill out an online timesheet on CyberFriar, as well as a Google timesheet (that is sent to your off-campus supervisor for approval) in order to get paid. Remember, you will manually have to fill in your hours on both timesheets, every two weeks. Timesheets are due every other TUESDAY (see payroll schedule below).
For more information on submitting timesheets, please refer to pages 9-11 in your Student Guidebook
